Guidelines & Terms of Presenting

  1. During your session you will not sell or promote any particular product or service unless the session slot has been designated as such with prior permission from CERIC. If you wish to promote your services, materials or products, please contact our Marketing Team at marketing@ceric.ca
  2. As a charitable organization, CERIC will not compensate you for speaking/presenting. You have sole responsibility for accommodation, travel and any additional costs associated with your presentation.
  3. One presenter must be identified as the Principal Presenter and all co-presenters are bound by these Guidelines and Terms of Presenting and must be listed with contact information provided on the Call for Presenters form. All conference follow-up information including acceptance or decline of the proposal and registration code will be sent via e-mail to the Principal Presenter, who will then have the responsibility to pass the information on to all additional co-presenter(s).
  4. If accepted, all presenters agree to register for Cannexus14 by September 30, 2013 and must be present and participate as proposed. You understand that if you plan to participate in any of the conference outside your session and wish to receive the presenter discount for the full 3-day registration fee, you must register using the presenter code which will be sent to the principal presenter by September 1, 2013.
  5. You must submit the completed Proposal Form, in either French or English, by June 14, 2013.
  6. CERIC reserves the right to edit abstracts, titles and biographies, make final presentation selections, and choose which session will receive simultaneous interpretation or be selected for filming.
  7. Note that one of the most common complaints from delegates is that the session description and the actual presentation do not match. Please ensure that what you are presenting matches the description you provided. Only the Principal Presenter will be able to make changes to your description, please co-ordinate your edits and then have the Principal Presenter send the revised documents to cfp@ceric.ca no later than September 30, 2013.
  8. Please note that, although it is not always possible to do so, every effort will be made to accommodate your preferred length of session choice. All session 15 minutes in length are poster sessions meant for graduate students to highlight their research. All sessions 90 minutes in length should leave at least 15 minutes at the end for question and answer. For all sessions 45 minutes in length you can leave some time at the end for question and answer. Please be mindful that the presenter(s) in the session following yours need time to set-up so you should leave the room ready for them according to the end time noted in the schedule.
  9. You agree to provide your own handout materials with translations if needed.
  10. You attest that the material in your presentation is created and owned by you and will not infringe the copyrights of others.
  11. If you cannot do so at the time of your proposal submission but would like to have an image used in our print or web promotions, please provide an image/photo of all presenters in your session with a high-resolution (300 dpi, larger than 800 px width) adequate for print or web-posting by June 14, 2013 by e-mailing cfp@ceric.ca.
  12. CERIC may promote your session, including anything contained in this application on its website, in a brochure, flyer, or a press release; your image may also be used in the promotion of the conference.
  13. Presenters are required to bring their own laptop and MAC SPGA cable if one is needed for their session. CERIC will provide an LCD projector, screen and wired podium for every room. Note that any additional needs may include additional costs. Most rooms are set-up in banquet style with round tables and any change to this may also involve additional costs. Note that there may also be additional charges for flipcharts and/or Internet connections.
  14. If you would like to have your presentation materials made available on the Cannexus website under past events, you will provide CERIC with an electronic copy of all materials related to your presentation by January 29, 2013 by e-mailing it to cfp@ceric.ca .
